WEDDING & CELEBRATION SALES COORDINATOR

SKILLS REQUIRED
  • Min grade 12 /equivalent
  • Accredited certificate or diploma in wedding planning, hotel management, hospitality or similar will be beneficial.
  • Computer literacy – Intermediate -Microsoft outlook, word and excel – ability to learn department systems in play.
  • Ability to plan, follow checklists and instructions and meet deadlines required within the department.
  • Strong Admin Skills and attention to detail orientated.
  • Passionate and service orientated.
  • Takes initiative.
  • Very Organized and must be able to multitask.
  • Team player and works well with others.
  • Ability to collaborate with other departments required (banqueting, kitchen, front office, set up and housekeeping especially).
  • Knowledge of hospitality industry best practices.
  • Ability to work under pressure.
  • Excellent interpersonal and communication skills.
  • Excellent English – read, write, and speak.
  • Must work weekends and public holidays.
KEY AREAS OF RESPONSIBILITY AND PERFORMANCE
  • To effectively and timeously respond to enquiries on all platforms (telephonic, email, INFO, venue.com, whatsapp/Instagram etc) utilizing the correct systems and standard operating procedure in play (Keap).
  • Assist with follow up quotations/adjustments.
  • Play a key role in meeting departmental financial targets.
  • Booking and conducting function and wedding viewings and converting these clients to booked functions using the provided tools, sales skills and initiative required.
  • Ability to upsell and contribute to higher function revenues taking place on the day.
  • Ensuring the relevant details and documents are received for new sales and opening these new files accordingly.
  • Create and maintain computer and paper based filing, organizing systems for records, reports, documents etc.
  • Ensuring that the correspondence with clients both telephonically and via email are efficient and professional and that all the relevant systems within the department can be worked on correctly as required (RDZ, Keap, Excel etc).
  • Office admin in terms of ensuring there are always wedding boxes and client forms ready for appointments. Ensuring the appointments are booking correctly and informing relevant departments of necessary requests (example tasting plates with kitchen, view rooms with reception).
  • Assisting with booking any mock tables/tastings for clients and attending these as requested/ rostered by HOD.
  • Setting up and conducting final appointments. Completing and sending out all documents for the relevant functions.
  • Ensuring that the booked client is assisted and that the company has clear handovers for each element of the event to take place successfully.
  • Function checklists and duties on the wedding/function day. Assisting to walk the bride down the aisle with detailed handovers to the function managers on the function day, checking in with clients on function days.
  • Assisting with turndowns for the rooms, follow up emails after the functions to the clients and fact checks / feedback summaries for any complaints after the functions.
  • Keep up to date with competition rates, offers and Industry trends.
  • Consistent knowledge of current campaigns, promotions, or special offers in play within the company.
  • Assisting with special requests or situations outside of the standard requirements.
  • Achieving optimum standards of service and value to the Hotel guests within profit objectives and in a manner consistent with the company’s philosophy and policies.

IT IS IMPORTANT TO UNDERSTAND THAT THE SUCCESSFUL CANDIDATE WILL FIRST FILL IN THE WEDDING DEPARTMENT ONCE THE WEDDING COORDINATOR RETURNS FROM LEAVE, THE CANDIDATE WILL REMAIN IN THE SALES DEPARTMENT. SUCCESSFUL CANDIDATE MUST BE FLEXIBLE

EDUCATION
  • MIN OF GRADE 12
